The primary mission of MBRU is to provide excellence in medical education and Research in the UAE and beyond. MBRU is Dubai Healthcare City’s first medical university and is part of the Dubai Academic Health Corporation.


The role holder will be responsible for all internal and external communications for the office of the Director of the Students Services; Receives and responds to the students correspondence with the Director; Supports the Department with its clerical and secretarial needs; Manages the office and ensures a smooth daily operations plus follows up instructed actions with Department’s sub units.

Principal Accountabilities:

  1. Assist with the general administration through the provision of clerical and office support for daily operations and special events or activities
  2. Undertake duties associated with the management of student records, ensuring maintenance of documents, official correspondences and all paper files and information retrieval in an efficient and timely manner
  3. Record and track all external requests to participate in competitions, exhibitions, and conferences; Follow up requests and nominations with the academic departments
  4. Place ‘Purchase Requisitions’ on behalf of the department for all its purchases; follow up invoices, reimbursements and arrange payment pickups
  5. Provide logistical supports for students international trips
  6. Prepare and forward the students/department’s news to the External Affairs for publication
  7. Provide clerical support to the Student Council, record their minutes, monitor their responsibilities, and alert the Director of Student Services of concerns
  8. Follow up department’s registration in professional organizations; arrange hosting organization’s meetings; follow up staff’s participation in related meetings, seminars, events and ceremonies
  9. Proceed emails to individual students or the student community, and follow up actions that follow
  10. Regularly prepare and update classified lists of student mobiles for mass SMS communications or phone calls when needed
  11. Deliver official letters to the students; collect documents from the students and send them to the appropriate person/division of the department
  12. Follow up correspondences with the community (parents, schools, employers etc)
  13. Help department’s needs of basic translations and bilingual preparations of material
  14. Arrange departmental meetings, record minutes, and follow up actions with individuals
  15. Satisfy department’s needs of stationary, phone calls, reservations, and updated lists of students, graduates, partners
  16. Perform related duties when assigned by the line manager

Additional skills:

  • Arabic Language, both spoken and written
  • Excellent Communications and Computer Skills


  • A Degree in any discipline from an accredited reputable university


  • Minimum of 3 years in administration preferably in an educational environment
  • Working at a senior management office is an advantage
